From your dashboard, click “CRM” and then “View Vendors” on the left side of the screen.
Click on the Company you wish to edit from your Vendors list.
You can also click “View” on the right-hand side of the contact to edit the vendor.
Once the vendor is selected, their record will open, and you can edit their information.
Any information you type in will automatically be saved.
* GENERAL
You can edit all the information for this vendor here.
You can also add multiple Email and Phone types by selecting the options from the blue dropdown icons.
Removing a Vendor
Select the Vendor – Click on the Company Name you want to remove or click View on the right side to edit the vendor. (e.g., Beach Front Escrow).
Move to Trash – On the vendor’s information page, click the "Move to Trash" button in the bottom-left corner.
Confirm Removal – The vendor will be moved to the trash, effectively removing it from your active list.
* ADDRESS
You can add an address (or as many addresses as you want) for this vendor.
* DETAILS
There is even a spot to input any details about your vendors.
The details are configured at either a brokerage or office level.
For Brokerage Managers:
* FILES
The file tab allows the brokerage to keep files with their vendors.
The files are configured at either a brokerage or office level.
Agents can upload files to brokerage and office-level vendors as well as their own vendors.
Upload a File:
Click the Operations button next to a document to begin the file upload process.
A pop-up window will appear.
Click the edit icon next to the file, check off the disclaimer, and press Upload.
Select the document you want to upload and press Save.
Manage Uploaded Files:
- Once saved, the document will be added to the vendor’s profile.
The operations menu will now allow you to view, download, edit (replace the document), or delete the file.
This process ensures your vendor files are efficiently organized and accessible within TotalBrokerage.
* SMS
This tab allows agents to send and receive SMS messages.
The SMS feature is only available to the Plus and Enterprise Plans, and the agent must have an Active outgoing SMS number.

Make sure that Vendor has a Mobile Phone Number.
Go to the SMS tab.
While composing a message, you will see a character counter to indicate the length of the message and how many messages will count against your license.
For Vendors owned by an Account, messages will be sent from that Account's available SMS numbers.
For Vendors owned by an Office or your Brokerage, messages will be sent from your own available SMS numbers.
The To numbers will be any of the Vendor's mobile numbers which are recognized as valid.
Non-managers will only be able to see their direct correspondence with a Vendor.
Managers can see all messages sent to and from the Vendor.
The email tab keeps a log of all your emails between you and this Vendor.
To view a list of all emails sent to the vendor from other accounts, select the checkmark Show messages sent from other accounts to this Vendor.
- Click the Compose button to write an email
- Click Send on the bottom right to send the email.
