From your dashboard, click on “Lead Routes” and then “Routes” on the left side of the screen.




Select the lead route you would like to edit.



This will bring you to the general tab of the lead route. Here you will be able to edit the name, timezone, description and lead entry points of the route. Be sure to click save when you are done editing. You can also disable the lead route at the bottom left. This will remove all entry points for the lead route.


In the editor tab is where the lead is actually getting routed. Below is a picture of the editor.


You can press the green plus after hovering over the component to add another component to the route.



The legend explains each symbol and the type of component it relates to.


Here is an example of a valid lead route. You can match from the legend to each component to see what they are. Each component type and type for components will be explained below.


There are three different types of components that can be added and each type is described below.

Actions
These are applied directly to the lead

Add to Action Plan: This component will add the lead to an action plan when the contact is created.


Add to Automation: This component will add the lead to an automation when the contact is created.

Add Tags: This component will add tags the lead the contact is created.

Set Field: This component will set lead source, lead type, or language on the lead when the contact is created.


Decision

These route the lead down specific paths


Time Received: This component will route the lead down a path based on the current time the lead came in.


When creating the next component off this one you can choose at what times this route applies.  For example during 9-5 Monday through Friday you may want to route the lead differently than outside those hours.


Lead Source: This component will route the lead down a path based on the source the lead came in from. 

When creating the next component off this one you can choose at what lead sources this route applies. For example you may want to process your Zillow leads differently from other leads.


Please note that all decisions must have at least one path that has time or source criteria and one path that is considered the default which lead will be routed to when no creitria is met. 



Scheme

These route the lead to a specific person

Traditional Lead Routing: This is how TotalBrokerage routes leads normally. It will attempt to go to a Lead Manager if they exist and if not it will go to a Manager.


A Specific AccountThis will route the lead to a specific account and office.

An Account with a Specific Role: This will route the lead to a person with a specific role. If there are multiple people with the role it will go to one at random. If there are no people with the role it will run Traditional Lead Routing.




A Round Robin Account Pool:
This will route the lead to an account pool that is created before configuring this lead route. It will route a lead to each person in the pool before resetting back to the beginning so each person will receive a lead before they get a second lead. Each person in the pool can have a timeout and the entire scheme can have a timeout. If the scheme doesn't automatically assign the leads to an account it must have a fallback scheme set on it.


  • Automatically assign leads to agents: If this box is checked, the lead will automatically get assigned to the next person in the round robin. If not, the lead will be send to the person in an email and they can choose to accept or reject the lead based on the information in the email.
  • Leads can timeout: If this box is checked it will prompt you to add a timeout. This timeout is the maximum amount of time the scheme will run before moving down the fallback path (only if it times out)


A Piranha Account Pool: This will route the lead to an account pool that is created before configuring this lead route. It will route the lead to the entire pool at the same time and the first person to claim the lead will get it. The timeout is the amount of time everyone will have to claim the lead and if it is reach without anyone claiming the lead it will go down the fallback path.



After a component is added you can edit it by clicking the yellow icon or remove it by clicking the red icon.

You can also import an existing route from a different lead route. If it is an account lead route you can only import another account lead route.


Select a route from the dropdown to import into the editor.
