Action Plans are a plan for corresponding with a contact.  To create an Action Plan, click on “CRM”, and then “Action Plans” from your dashboard.



The first page you’ll see is the list of all Action Plans that have been created.  For each Action Plan, you can see the: 


  • Title - name of the Action Plan

  • Number of Actions - number of actions in that Action Plan

  • Number of Active Runs - number of contacts that this Action Plan is applied to

  • Number of Completed Runs - number of times this Action Plan has been completed


You can also edit any of your Action Plans at any time by clicking “Edit” to the far-right of the plan you want to edit.




To add a new Action Plan, click “Actions” at the top-right corner of the page, then click “+Add New Action Plan”.




Choose a title and who you want to have access to the plan, then scroll down to the “Actions” section.




This is where you’ll set up the actions within the Action Plan.  The first action will already be open for you to add information.




When you’re adding an action to an Action Plan, you can choose to either “Create Task”, “Send Email”, or "Send SMS."


If you want to “Create Task”, continue filling out all the information in the box.  In the “Execute” field, the number you are going to enter is the amount of days after adding the Action plan to your contact.  For example, if you add the Action Plan to the contact on Monday, and you want the action to be executed Wednesday, the number you would put is 2.  You can also choose to execute the action immediately after adding the Action Plan to a contact.




In the “Task to Perform” field, you can choose what kind of task you want the action to be, whether it’s to call, mail, or contact. (Note: The “Task to Perform” field can be configured in “User Fields” in your “Setup” menu by the Brokerage Manager.)




After you’re done filling out the information for the first action, if you want to add another action to the Action Plan, click the green “+Add an Action” button.  You can add as many actions as you want.




Let’s make the next one a “Send Email” action, as an example.  



This time, the number in the “Execute” field refers to the number of days after the first action was completed.  So, if Action 1 was completed Wednesday of this week, and you want the second action to execute on Monday of next week, the number you would put is 5.  You can also choose to execute immediately after the first action.





Choose a template that you’d like to use for the email that you are sending.  (Note: Actions will execute at 9:00 AM of the day they’re supposed to occur.   So tasks and emails will automatically be created and sent at 9:00 AM on the day of execution.)




You can also choose to send an automated SMS as part of your action plan. If you choose Send SMS, you will be able to compose a message to send to the contact. In the editor, you can select details to automatically be replaced when the SMS is sent.

Compose the SMS Message you would like to send out automatically.


If you are done adding actions to your Action Plan, click “Save”.  (Note: Once you click “Save”, you cannot remove an Action Plan, and actions in the plan cannot be deleted. Once you click “Save”, you will be redirected to the “Edit” page for the newly created plan.
