To access the all of the Transaction Reports, click on “Reports” and then “Transactions” from your dashboard.







The following reports are available:


TRANSACTION SUMMARY

Here, you can run a report that shows the Transaction, Gross Sales Volume, Gross Commission, Agent Gross Commission, Post-Split Broker Income, and Broker Income



TRANSACTION SUMMARY BY AGENT

Here, you can generate a transaction report that displays the agent's account within the brokerage, along with key financial details, including Gross Sales Volume, Commission Income, Gross Commission, Agent Gross Commission, Agent Net Commission, and Post-Split Broker Income. 



TRANSACTION COUNT Only users with the TotalBrokerage Manager role can view these reports.

Here, you can run a transaction report that shows the term, number of transactions Created, number of transactions Closed, Total number of transactions, Net Broker Income, and Average Broker Income according to your search criteria. 



VOLUME

You can run a transaction report here that shows the number of TransactionsGross Sales Volume, and Average Price.  



PIPELINE

Here, you can run a transaction report that shows the lead source, number of contacts, number of closed contacts, net agent income, and net broker income for transactions in your pipeline. Contact Status (Trashed or Not Trashed) and Company Leads can further filter this report.



VENDOR SUMMARY

Here, you can run a transaction report about financial information involving vendors. 

The report shows the name of the Transaction(s) in which the vendor is involved, the Description of the line item, the to/from whom the line item was designated, and the Amount (which will display the total and the average) of the line items.



VENDOR COUNT

Here, you can run two different transaction reports:

Vendors Used in Commissions: which shows the Term, # Line Items, Total Value, and Average Value of the Vendors. 

Vendors Added to Transactions: which shows the Term and # of Transactions the vendor was a part of.



EXPENSE

Select Expense from the tabs. Here, you can run a report that shows the Transaction, Expense Type, Number of Expenses, Total Value of Expenses, and Average Value of Expenses



EXPENSE BY AGENT Only users with the TotalBrokerage Manager role can view these reports.

Here, you can run a report that shows the Transaction, Expense Type, Number of Expenses, Total Value of Expenses, and Average Value of Expenses for your brokerage's transaction. 

This will help you compare expense costs between agents. 



EARNEST MONEY Only managers, transaction analysts, and accountants can view this report.

Here, you can run a report that shows earnest money moving in and out of bank accounts. 

You can use this to balance your books.



ACTIVITY BY AGENT Only users with the TotalBrokerage Manager role can view these reports.

 Here you can run a report that shows the Number of Activity per Agent for your brokerages transaction. It will help compare how much activity an agent is generating compared to another.



FULL ACTIVITY Only users with the TotalBrokerage Manager role can view these reports.

Here, you can run a report that shows the Activities for your brokerage's transactions.



The default setting of this report will run for the past month (plus a day).



CUSTOMIZE THE REPORT PARAMETERS

You can tailor the report by modifying the following settings:


Dates: Select the transaction date types for the search.


Date Range: Based on the activity's creation date, define the date range for the activities you want to include.


Status: Choose which statuses should appear in the report. 


Participating Agent: You can refine your search by selecting which agents from your office or brokerage to include.


Team and Office: Narrow your search by choosing which offices are included in your search. 


Represent: Indicate the type of representation (buyer, seller, landlord, or tenant) to include in the report, if applicable. If left blank, the report will contain data for transactions representing all people.


Type: Select which Transaction Types to include, if applicable.


Activity Type / Vendor Type: Specify the activity types to include, if applicable.


Vendor Name: Select the specific vendors for this report


Vendor Description: Choose the types of Transaction Credits/Deductions for the vendor report.


Activity creator: Choose the agent(s) who created the activity, which may not necessarily be the same as the agent assigned to the transaction.


View Report as an Agent: Managers can select this option. It is not available to Agents.


Only Include Information for the Transaction Owner: Managers can select this option. It is not available to Agents.






CUSTOMIZING THE REPORT


  • Dates: Click in the Dates field to choose which Date Types this report is based on.

        


  • Date Range:  Click on the grey calendar date boxes and select the appropriate dates you want to run a report between. Once you have selected the Date Range, click Apply.



  • Status: Click inside the Status box to select the status(s) that you want included in this report. (Note: Dead transactions are excluded from the report data.)

            


  • Participating Agent: You can refine your search by selecting which agents from your office or brokerage to include. Your ability to choose agents depends on your assigned role in TotalBrokerage. If you are an agent without a designated manager role, you can only select yourself. To do this, click inside the text box next to "Participating Agent" and choose the relevant agent(s).

  • Team and Office: Here, you can narrow your search by choosing which offices are included. Your ability to select offices will depend on your assigned TotalBrokerage role. To do so, click inside the text box to the right of Office and select the appropriate office(s) you want to include.


            

    


  • Represent: Here, you can narrow your search to include what type of party was represented in the transaction: Buyer, Seller, Landlord, or Tenant. Click in the box and select the parties you want to include in a report. The default (if left blank) will contain data for transactions representing all people. 


           



  • View Report as Agent: If you are an Office Manager or Brokerage Manager, you can select this option to see only information that relates to you as the agent. 

    

           

    

    

  • Only Include Information For Transaction Owner: This option allows you to remove the commission information for participating agents and only include the Transaction Owner.



  • Generate Report: Once you have chosen all the parameters for your report, select the blue "Generate Report" button to run the report. 

           



  • Show ___ Entries: Here you can expand the amount of entries shown in the report. To do so click on the drop down arrow located within Show ___ Entries and select the appropriate number that you wish to expand by.  



CSV REPORT

You can also download your report as a CSV. 

To do this, click the “CSV” button above the Report table to the right.



CONFIGURING THE REPORT COLUMNS

You can configure the column by clicking the gear icon.

The following popup will appear. 

The columns on the left can be selected, while the ones on the right are already selected.


To move a row from the left to the right, press the blue plus button or drag the mover icon from the left to the list on the right.


To move a row from the right to the left, you can press the red minus button or drag the mover icon from the right to the left list.


The way the right list is organized will be the order the columns appear in the report and they can be rearranged.


If you want to save the column configuration for the future, you can check the box for "Save these columns as default" and press apply.



REPORT TOTALS

The totals for the entire report will be shown at the bottom of the table.
